notes on organization of meetings in the big council rooms at the 7th floor, up to about 40 persons. 1) room booking: months before the meeting, go to isabella brumati or alice padoan at the 7th floor to book the room. 2) participants: make a doodle or equivalent with participants. this will allow you to keep track of the number of participants per day, which is useful for organizing coffee breaks. 3) hotel booking: it was managed by lorena bencina, our secretary. she was receiving e-mails of the participants as suggested in the attached e-mail instructions, and booking the hotels. 4) web access for participants: a week before the meeting, send the list of participants to the SIS (helpdesk at sissa.it), they will prepare badges with names, usernames and passwords. they will also need a copy of the ID of each participants, that you may collect upon arrival and bring to the SIS at the first floor anytime during the meeting or later. 5) coffee breaks. contact susanna at sissa at fedegroup.it, they'll send you the attached pdf, choose the proposal which you prefer, inform susanna which will transmit to the bar your order. they need to know which product you chose, for how many, and the place where the meeting will be. lorena bencina will be notified about it and will direct the expenses in the proper chapter, which must e agreed before ordering of course. 6) videoconferenceing. a videoconferencing system is available upon request at helpdesk at sissa.it. in order to try it and set it up, please ask for it say one week before the meeting. 7) attachments: mail to the group with details, transportations and hotels which may be modified and adapted to your meeting, sissa location, bus 38 schedule, walking path from the train/bus station to the bus 38 stop.
